Service 02
AI Workflow Automation
Connect your tools. Remove the repetitive steps. Keep people in control.
We automate the work that moves between your applications — intake, routing, data entry, approvals and reporting — using AI where unstructured information needs interpreting, and plain logic where it does not.
You need this if
Your team copies information between systems, chases approvals by email, or rebuilds the same report every week.
01Who it is for
Operations and administration teams
People who keep the business running and spend too much of their day moving information around.
Growing companies with tool sprawl
A CRM, a spreadsheet, an inbox, a messaging app and an accounting tool that do not talk to each other.
Finance and back-office functions
Recurring, rules-heavy processes where errors are expensive and audit trails matter.
02Problems it solves
- 01
Copy and paste between systems
The same customer, order or invoice is typed into three places, and the three places disagree.
- 02
Approvals stall in inboxes
Requests wait for a reply nobody knows is pending, and work stops until someone chases.
- 03
Errors are found too late
Manual steps fail quietly. Problems appear at month-end, or when a customer complains.
- 04
Reports are assembled by hand
Hours each week go into exporting, cleaning and formatting numbers that already exist in your systems.
03Example use cases
CRM and communication tools, connected
New leads, deals and tickets create the right messages, tasks and notifications automatically.
Document intake and routing
Incoming files are read, classified, named, stored and sent to the person or system that handles them.
Processing structured business information
Orders, timesheets, inventory and payments reconciled between systems on a schedule.
Repetitive administrative steps
Onboarding checklists, account set-up, reminders and follow-ups that run without being remembered.
Approval workflows
Requests reach the accountable person with the context to decide, and every decision is recorded.
Internal reports
Weekly and monthly reports generated from live data and delivered where your team already looks.
Exception and error monitoring
Failures, mismatches and unusual values are flagged to a named owner instead of disappearing.
04What is included
Workflow design
- Current-state process map
- Automation candidates ranked by effort and value
- Approval and exception design
Implementation
- Integrations through APIs, webhooks and automation platforms
- AI steps for classification, extraction and drafting
- Custom services where standard connectors fall short
Control
- Run history and alerts
- Retry and failure handling
- Documentation your team can follow
05How we implement it
Map
Document the process as it really runs, including the workarounds.
Prioritise
Rank steps by time consumed, error risk and ease of automation.
Automate
Build in stages, starting where the value is clearest and the risk lowest.
Monitor
Every run is logged. Exceptions reach a person, not a void.
Where people stay in the loop
- Payments, refunds and financial postings above thresholds you define.
- Messages that commit the business to prices, deadlines or contract terms.
- Decisions about people — hiring, credit, access or eligibility.
- Any case where confidence is low or the input does not match what the system expects.
- These are designed as explicit approval steps: visible, logged and quick to act on.

Map a Workflow With Us07Questions
Do you use automation platforms or write custom code?
Both. Platforms such as Make, n8n or Zapier are fast to build and easy to maintain for many workflows; custom services make sense for high volume, complex logic or strict security requirements. We recommend the simplest option that will hold up and explain the trade-off.
Does every automation need AI?
No. Many steps are rules and integrations. AI is added where inputs are unstructured — emails, documents, free-text forms — and rules break down.
What happens when an automation fails?
Every workflow has defined failure behaviour: safe retries, alerts to a named owner, and a queue of items that need attention. Silent failures are treated as defects.
Can you work with the tools we already use?
Usually, yes. If a tool has an API, webhooks or a supported connector, we can integrate it. If it has none, we will tell you what the realistic options are.
